Onboarding a Research Volunteer: What You Need to Know

When a trainee joins your lab as a research volunteer, here’s the step-by-step process managed by CAMELOT:

  • Application Submission

The trainee begins by completing the volunteer application through our portal:

Once submitted, a member of the CAMELOT team will review the application and reach out to the trainee with next steps.

  • Guest Medical Center Account Setup
  • The trainee will receive an email from Medical Center IT with instructions to set up their guest account.
  • Important: This email is sent only after the request is reviewed and approved by our director. This review may take a few days—thank you for your patience.
  • Background Check
  • After the guest account is active, the trainee will receive another email with instructions to complete a background check.
  • Action Required: Please ask the trainee to notify us once this step is complete, as there are no automatic alerts.
  • Badge Requirements
  • A Medical Center badge is not required unless the volunteer will work inside hospital facilities.
  • Computer and Network Access
  • Once the background check is cleared, we will request computer and network access for the trainee.
  • The trainee will receive their Medical Center ID, which is used to log into CCC computers and networks.
  • Swipe Access to Research Buildings
  • To enable building access on the trainee’s BuckID, your lab must submit a request through the OSUCCC portal.
