Working with Minors

 

1. Background Checks

  • Any mentor/PI who will have care, custody, or control of youth (high school students) must complete an Ohio BCI fingerprint background check before the program begins.
    • This includes undergraduates, graduate students, and post doctoral scholars.
    • Please send these names to Margaret.Robinson@osumc.edu to get a background check requested.
  • If you have not lived in Ohio for the past five consecutive years, both BCI and FBI checks are required.
  • Background checks must be renewed every four years.
  • Schedule your background check in Doan Hall for easy access.

2. Required Training

  • All mentors/PIs must complete annual Youth Activities and Programs Policy training via BuckeyeLearn before working with students.
  • Training covers:
    • Recognizing and reporting child abuse or neglect
    • Standards of Behavior for Employees/Volunteers
    • Youth Privacy Principles
  • If you will not exercise care, custody, or control (e.g., limited virtual interaction), you must review and sign the Non-Care, Custody, and Control Responsibilities Training form which will come from the CAMELOT office through DocuSign.

3. Standards of Behavior

  • You must sign and abide by the Standards of Behavior Form before mentoring begins and this will come from the CAMELOT office through DocuSign.
  • Key expectations:
    • No one-on-one interactions with students unless specifically authorized.
    • Maintain professional boundaries at all times.
    • Do not share personal contact information or engage in private communication outside approved channels.
    • Follow all lab safety and youth protection protocols.

4. Reporting Obligations

  • If you witness or suspect child abuse or neglect, you must:
    1. Call 911 if the youth is in imminent danger.
    2. If not imminent, call 855-O-H-CHILD (855-642-4453).
    3. Report to CRCO via https://civilrights.osu.edu/ or call 614-247-5838.
  • Good faith reporting is protected under Ohio law.

5. Program Conduct

  • Mentors/PIs are expected to:
    • Provide a safe, inclusive, and respectful research environment.
    • Supervise students appropriately during lab activities.
    • Ensure students do not work alone in the lab.
    • Follow all university and program safety protocols.

6. Accountability

  • Failure to comply with these requirements may result in removal from the program and additional university action.
